Small Business IT Support in Toronto: What to Expect and What It Costs

Most small businesses do not have an IT department. They have an owner who resets the router, an office manager who knows where the passwords are written down, and a nephew who "is good with computers." That works until the server stops, an email account gets taken over or a new hire waits three days for a laptop.

Small business IT support fixes that gap. Instead of hoping nothing breaks, you pay a provider to look after your computers, network, email and security on a set plan. At TechBoss we provide managed IT support for small businesses across Toronto and the GTA from our base in North York.

This guide explains what small business IT support covers, the different ways to buy it, what it costs per user, and how to tell whether a provider is a good fit before you sign anything.

What Small Business IT Support Actually Covers

Good IT support is more than someone to call when the printer jams. A proper plan covers four areas.

  • Help desk: your staff can ask for help by email, phone or a support portal when something stops working, from a locked account to a laptop that will not start.
  • Monitoring and maintenance: software on each computer reports problems before your staff notice them. The provider installs operating system and application updates on a schedule, so security holes get closed.
  • Security: antivirus and malware protection, email filtering, firewall management and, on higher plans, endpoint detection and response (EDR) and staff training against phishing.
  • Planning and admin: setting up accounts for new hires and removing them for people who leave, managing Microsoft 365 or Google Workspace, dealing with your internet and software vendors, and helping you budget for replacements.

If you are not sure what a provider does day to day, our post on what a managed IT service provider actually does walks through it in more detail.

Three Ways to Get IT Support

Small businesses in Toronto usually choose one of three models. Each has a place.

Break-fix (pay when it breaks)

You call a technician when something fails and pay by the hour. It looks cheap because you pay nothing in a quiet month. The catch is that nobody is watching your systems between calls, so updates get missed, backups fail without anyone noticing and small problems grow. You also have no say over when the bill arrives.

In-house IT staff

Hiring your own IT person gives you someone on site every day. For a small team, it is hard to justify one full salary plus benefits, and one person cannot be expert in networking, security, cloud and help desk all at once. When they are sick or on holiday, you have no cover. We compare the numbers in in-house IT vs. managed IT services.

Managed IT services (flat monthly fee)

You pay a fixed price per user each month and the provider looks after everything in the plan. The provider is paid the same whether things break or not, so they have a reason to prevent problems instead of billing for them. This is the model most small businesses settle on once they have more than a handful of staff.

Signs You Need Proper IT Support Now

Many owners only look for help after a bad week. These are the warning signs worth acting on earlier:

  • Staff lose time every week to slow computers, dropped WiFi or login problems.
  • You are not sure whether your files are backed up, or you have never tested a restore.
  • Former employees may still have access to email or shared files.
  • Passwords are shared, written down or reused across accounts, and multi-factor authentication is not turned on.
  • Your computers or server are old enough that they no longer get security updates.
  • Nobody can tell you what equipment you own, what software licences you pay for or when they renew.

What Small Business IT Support Costs in Toronto

TechBoss prices managed IT per user, per month, in Canadian dollars. These are our published plans:

  • Essentials, $49 per user per month (minimum 5 users): remote monitoring and management, antivirus and malware protection, patch management, email support Monday to Friday 9 to 6, a cloud helpdesk portal, a monthly system health report and an 8-hour response SLA.
  • Professional, $89 per user per month (minimum 5 users): everything in Essentials plus cloud backup and disaster recovery (1 TB per user), email security, Microsoft 365 or Google Workspace admin, network monitoring and firewall management, 2 hours a month of on-site support, employee onboarding and offboarding, vendor liaison, a quarterly business review and a 4-hour response SLA. Support runs Monday to Saturday, 8 AM to 10 PM.
  • Business, $139 per user per month (minimum 10 users): everything in Professional plus 24/7 support with a 1-hour critical response, EDR, DNS filtering, dark web monitoring, security awareness training and phishing simulations, mobile device management, compliance assistance, a dedicated account manager and 4 hours a month of on-site support.
  • Enterprise, from $189 per user per month (minimum 20 users): adds a vCIO and IT roadmap, unlimited on-site support, SIEM and SOC monitoring, annual penetration testing and multi-site support.

As an example, a 10-person office on the Professional plan pays $890 a month on annual billing. Annual billing, paid upfront for the year, costs less than month-to-month. If you need more hands-on time than your plan includes, extra on-site support is $150 an hour or $1,200 for an 8-hour block.

Your monthly fee does not include new hardware or one-time projects. A new server and network setup runs $2,000 to $15,000, and a full office or retail IT buildout runs $3,000 to $20,000 or more. Which Plan Fits a Small Business?

There is no single right answer, but these rules of thumb help:

  • Choose Essentials if your team mostly works on laptops, your email and files already live in the cloud with backups handled elsewhere, and you mainly need computers kept updated and protected.
  • Choose Professional if you want one provider for everything: help desk, backup, email security, Microsoft 365 admin, the office network and some on-site visits. This is the plan most small offices end up on.
  • Choose Business if you handle sensitive client data, such as in accounting, legal, medical or finance work, or if you need help outside business hours. The added security tools and staff training matter most here.

Questions to Ask Any IT Support Provider

Before you sign with anyone, including us, get clear answers to these:

  1. What exactly is included in the monthly fee, and what is billed extra? Ask for it in writing.
  2. What are the support hours and response times, and are they written into the agreement?
  3. How are backups done and tested? A backup nobody has restored is a guess, not a plan.
  4. Who owns the admin passwords and documentation? You should, and you should be able to get them if you leave.
  5. Can they come on site? Remote support handles most issues, but network and hardware problems often need a visit.
  6. What happens when you want to leave? Look for a clear handover process and a reasonable notice period.
